Your Firm Has a Client Portal. Why Are Documents Still Arriving Everywhere?

Your firm implemented a secure client portal. But tax documents are still arriving through email., paper, mail, occasionally even text messages. So was implementing the portal unsuccessful? Not necessarily. The harder problem may not be the technology. It may be client adoption.

Accounting firms serve very different types of clients. Some clients will happily upload documents from their phone. Others are comfortable emailing attachments because that's what they've always done. Some still want to walk into the office carrying an envelope. And forcing every client into exactly the same process may create a different kind of friction. But allowing documents to arrive through every possible channel creates problems too. Staff now have to monitor multiple locations, move documents into the correct system, determine what's missing and repeatedly follow up with clients. There are also legitimate security concerns when sensitive financial information moves through channels that weren't designed to be the firm's secure document exchange.

The question therefore isn't simply: “How do we make every client use the portal?” A better question may be, “How do we accommodate different client behaviors while still creating one consistent internal workflow? ”That distinction matters. A firm might intentionally support several client pathways: Digital-first clients use the portal independently, Assisted-digital clients receive additional instructions or staff assistance. Traditional clients may still deliver paper documents. The client's experience can vary. The firm's internal process doesn't necessarily have to. Regardless of how documents arrive,  the goal should be a consistent point where information is securely organized, tracked and moved into the preparation workflow. Technology can help with that. But first the firm has to decide what the process should be. Sometimes the biggest workflow problem isn't that clients refuse to change. It's that the firm hasn't designed a process that accounts for the fact that some of them won’t.
